DR Design Work Policies

Please read our startup business policies carefully before initiating any project. These terms ensure transparency, creative excellence, and smooth collaboration.

1. DR Design Work Policy

Agency Service & Client Contract Policy

We appreciate your interest in partnering with DR Design. Please review our official terms before onboarding our team for Graphic Design, Web Design, Digital Marketing, Product Packaging, Branding, SEO, or Social Media Marketing projects.

  1. DR Design accepts long-term agency retainer contracts only for a minimum duration of 1–2 years.
  2. For short-term agency contracts (3 to 6 months) within Vadodara, clients must provide a formal signed Service Agreement in advance. The fixed project retainer fee must be between ₹25,000 and ₹35,000 per month, with one month’s retainer fee paid strictly in advance.
  3. For short-term agency contracts (3 to 6 months) outside Vadodara (within Gujarat), a written digital/physical Service Agreement is required in advance. The fixed project retainer fee will be ₹35,000 to ₹50,000 per month, with one month’s retainer fee paid strictly in advance.
  4. For any dedicated resource deployment or contract, daily operational working hours for our team will be limited to 6 or 8 hours maximum.
  5. DR Design operates primarily as a remote-first creative agency. Whenever necessary, our team will execute projects from our own setup/studio based on schedule, resource availability, and operational conditions.
  6. Saturdays will be observed as a half working day for our team, limited to 4 operational hours only.
  7. For any design project, digital marketing campaign, or short-term contract, the client must pay one month’s advance retainer/payment before work commences.
  8. We are open to specialized project-based tasks and milestone-based work as per the DR Design Work Policies.
  9. All deliverables, campaign milestones, and creative terms will be clearly defined in the project proposal at the time of onboarding.
  10. Clients and corporate partners must maintain utmost professional decorum, constructive feedback loops, and clear communication channels for smooth workflow.
  11. DR Design reserves the absolute right to terminate any project, contract, or ongoing service if agency terms are violated.
  12. These Work Policies are implicitly attached to all our commercial proposals, estimation sheets, and contracts, and are binding upon execution.
  13. If the client decides to terminate an active ongoing contract:
    • They must provide a minimum of one month’s written notice, OR
    • Pay one month’s full package/retainer fee in lieu of the notice period.
  14. If the guidelines mentioned in this policy are breached by the client, DR Design reserves the right to immediately pause all active services (Web, SEO, Marketing, Design) and terminate the contract without liability. This decision will be final from our side.
  15. Any dispute regarding deliverables, strategy, or billing must be resolved directly with DR Design executives through mutual, good-faith discussions.
  16. Any form of false claims, undue pressure, or misrepresentation against DR Design will not be tolerated. We reserve full rights to take appropriate legal recourse to protect our commercial interests. The client will bear all costs, legal fees, and administrative expenses incurred by DR Design due to client-side default or breach.

Project Work & Creative Terms

  1. All creative design assignments, web layouts, and marketing campaigns will start only after written approval via official email or a signed/stamped project brief document.
  2. DR Design will not be responsible for any textual, grammatical, or informational errors in the content of any Graphic, Web, or Packaging design. The sole responsibility for verifying all text content, product copy, and legal data lies with the client or respective project owner.
  3. Project timelines for Web Design, SEO setups, and Packaging depends on the scope of work and prompt client response/feedback. The client shall not exert undue operational pressure regarding delivery timelines.
  4. The client must provide all high-resolution raw assets (approved text, product images, brand logos, vector files) before any design, branding, or marketing project begins.
  5. DR Design manages multiple pipeline projects simultaneously. The operational priority of executing tasks (which project or revision to deliver first) will be determined solely by our agency project managers.
  6. Any new design project, packaging layout, or marketing campaign add-on must be discussed at least one day in advance. Work will not commence on un-scheduled or ad-hoc requests.
  7. DR Design reserves the right to refuse any creative project, digital marketing campaign, or client assignment without providing any formal explanation.

2. Work Delivery & Timely Work Policy

  1. DR Design focuses strictly on premium quality output, precise grid layouts, optimized web code, and timely digital delivery.
  2. Turnaround and delivery times depend heavily on project complexity, the number of creative revisions, and the client's approval feedback loops.
  3. We are completely indemnified against any textual errors, typos, or regulatory mislabeling on final delivered design layouts, packaging, or marketing graphics.
  4. Urgent, rush, or priority timeline projects requested outside the standard pipeline will incur additional emergency fast-track charges.
  5. All website handovers, packaging templates, and branding guides will be delivered within the mutually agreed timeline whenever operationally possible.
  6. Urgent one-time creative design or digital marketing interventions may be charged on a commercial hourly basis starting from ₹670 INR or $7 USD per hour. A strict 50% advance payment is mandatory before triggering such tasks.

3. Payment & Agency Retainer Policy

  1. For all contract-based and ongoing monthly retainer services (Digital Marketing, SEO, Social Media), the client must clear one month's advance payment before campaigns go live.
  2. For short-term agency commitments of 1 to 6 months within Vadodara (Gujarat), the fixed monthly retainer will range between ₹20,000 to ₹30,000, payable fully in advance each month.
  3. For standalone fixed-budget projects (e.g., Web Design, Logo/Branding, Packaging Design), a strict 50% advance payment is required before starting the project.
  4. The remaining 50% balance payment must be fully cleared and processed before the final high-resolution files, live website deployment, or active campaign handover.
  5. Urgent ad-hoc troubleshooting or priority creative requests will be billed at ₹670 INR or $7 USD per hour, with 50% advance payment required.
  6. Accepted Secure Payment Methods:
    • UPI (Business Handles)
    • Corporate Bank Transfer (NEFT / RTGS / IMPS)
    • PayPal / Stripe (Mandatory for International Clients)
    • Digital Business Wallets (Google Pay For Business)
    • Verified Cryptocurrency / Stablecoins (USDT, Bitcoin, Ethereum, etc., strictly for international clients where applicable)
  7. No final vector assets, working source files, or commercial print files will be delivered without full, cleared invoice payments.
  8. For monthly digital marketing and SEO retainers, work will immediately pause if the advance payment is delayed beyond the billing cycle date.
  9. Any design project, web development task, or packaging layout schedule will be automatically pushed back or delayed in the event of late milestone payments.
  10. In case of billing or invoice disputes, the client must resolve it directly with the DR Design accounts team through professional mutual discussion in good faith.

4. Agency Terms & Conditions

  1. DR Design reserves the right to withdraw from any ongoing job, creative contract, or client project at any time if it does not align with our creative standards or operational feasibility. The final decision to continue or discontinue remains solely ours.
  2. All intellectual property, website mockups, draft designs, and marketing assets will remain the exclusive property of DR Design until the full invoice payment is received and cleared.
  3. Upon successful receipt of 100% project payment, the absolute commercial ownership and copyrights of the finalized design/website will be transferred to the client.
  4. DR Design is not liable for any copyright infringement or trademark issues relating to logos, stock assets, celebrity photos, or text copy provided directly by the client.
  5. We practice ethical design; we do not use copyrighted assets, unauthorized celebrity pictures, or restricted brand properties without explicit verified permissions.
  6. Once a design layout, packaging artwork, or web project is officially approved by the client or their designated representative, DR Design will not be held responsible for any commercial losses, print defects, or material damage.
  7. We shall not be liable for any digital business losses, drop in rankings, or financial damages arising from marketing campaigns or code changes performed during the normal course of our engagement.

5. Agency Refund Policy

  1. All booking fees, advance payments, and monthly retainer salaries paid to DR Design are strictly non-refundable.
  2. Any payment processed will remain completely non-refundable, even if DR Design terminates the contract due to client-side non-compliance or policy breach.
  3. No refund will be provided or computed once the research, wireframing, creative brainstorming, or development phase has officially started.
  4. If the client cancels, shelves, or postpones the project mid-way, no partial or full refund will be issued, and any unbilled work completed must be paid for.

6. On-Site Operations & Infrastructure Requirements

If corporate clients or agencies require our design/marketing teams to work or consult directly from their physical premises, the following infrastructure must be provided:

  1. High-performance, up-to-date workstations must be provided (preferably 2025 or later specifications) capable of running heavy Creative Suites, Rendering tools, and Dev environments effortlessly.
  2. Hygienic, separate, and proper toilet and restroom facilities must be available within the office premises.
  3. Safe and dedicated parking facilities for our visiting team members must be available at the workplace.
  4. Optimal office environments, including proper automated climate control (Air Conditioning) and adequate lighting, must be maintained.
  5. Any specialized premium premium plugins, premium stock subscriptions, fonts, or third-party marketing tools required for the specific project must be funded by the client.
  6. If on-site consultation or workshop sessions exceed 4 hours continuously, proper hospitality, tea, coffee, and snacks must be provided.
  7. All logistical expenses, travel allowances, and conveyance costs (such as fuel, taxi fares, or vehicle maintenance) for commuting to the client's site must be fully reimbursed by the client.

These infrastructure prerequisites must be detailed and agreed upon during the pre-onboarding phase.

7. Privacy & Confidentiality Policy

  1. DR Design respects data security, corporate confidentiality, and operational privacy for both our clients and our agency units.
  2. Our creative professionals will not operate under micro-managed personal supervision or invasive real-time CCTV monitoring tools.
  3. We demand a comfortable, creative, and trusting professional environment for our specialists, free from excessive live surveillance or monitoring software.
  4. All sensitive client database files, product formulations (for packaging), and proprietary code will never be shared with any third party.
  5. All pre-launch campaign details, product designs, and corporate strategies will remain completely confidential under strict internal agency protocols.
  6. Without explicit reciprocal agreement, no client company or agency name will be publically associated with DR Design for self-promotion.
  7. Our official agency portfolio or case studies will display only those corporate marks and projects:
    • That have officially signed off on a public case study clause, OR
    • With whom we have successfully managed a continuous retainer for over one year.
  8. No corporate client or brand entity can use the DR Design agency name, credentials, or branding assets without our explicit written permission.

8. Intellectual Property, Ownership & Usage

  1. All custom UI/UX screens, graphic layouts, social media templates, and packaging dies remain the structural property of DR Design until the final outstanding invoice is settled.
  2. After complete payment realization, all intellectual property rights of the finalized, approved creative asset will be legally transferred to the client.
  3. DR Design holds zero liability for copyright infringement claims stemming from font files, images, or assets forced into designs at the client's request.
  4. Clients must thoroughly audit and confirm they possess valid corporate licenses for all materials, logos, and trademarks handed over to DR Design for marketing or development purposes.

9. Creative & File Revisions Policy

  1. A strict maximum of 3 operational revision rounds will be provided for any single design asset, webpage, or creative layout task.
  2. Any additional modifications or tweaks requested beyond the initial 3 revision rounds will be processed as a fresh change request and billed extra.
  3. All feedback and revision lists must be consolidated, clear, precise, and sent in a structured written format (via Email or Project Management tools).
  4. Once a core wireframe, branding direction, or packaging structure is formally approved, any fundamental structural changes will not count as a standard revision and will incur full rework charges.
  5. All creative revision requests must be submitted within 3 business days of receiving the initial design draft/mockup. After 3 days, the file will automatically be locked, marked as approved, and billed as completed.

10. Project Delivery & Source Files Policy

  1. Final high-resolution source files, vector maps, open working assets (e.g., CDR, PSD, AI, FIGMA links, HTML packages) will NOT be shared or deployed under any circumstances until the final invoice balance is completely cleared in our bank account.
  2. Only standard low-resolution, watermarked review draft copies (JPG, compressed PDF, or staging URLs) will be shared during the design and development cycle.
  3. Upon confirmation of 100% cleared final payment, the final high-res commercial print files and raw editable source codes will be securely packaged and handed over.
  4. DR Design is not responsible for safely archiving, cloud hosting, or storing your project source files after 30 days from the project completion date. It is the client's sole responsibility to securely download and backup all delivered master assets.
  1. Any false claims, operational coercion, threats, or contractual misrepresentations will not be tolerated under any circumstances.
  2. DR Design reserves the absolute right to initiate appropriate legal proceedings to safeguard its brand reputation, physical/digital property, and financial dues.
  3. If any legal dispute, intellectual property battle, or corporate damage arises due to the client's negligence, copyright theft, or misrepresentation:
    • All actual attorney fees, court fees, and operational costs incurred by DR Design will be fully indemnified and borne by the client.
  4. The corporate client shall be solely and completely liable for:
    • Any third-party copyright claims on published marketing materials or websites.
    • Any misuse of user data, privacy breaches on developed web platforms, or compliance issues.
    • Any legal consequences resulting from illegal, misleading, or fraudulent marketing instructions given to our SEO/Social Media teams.
  5. DR Design shall be kept fully harmless and not held liable for any commercial down-time, loss of profits, or regulatory penalties caused due to:
    • Inaccurate business data or unverified product claims provided by the client.
    • Unauthorized modifications or code changes made to our delivered websites/designs by the client's internal team after handover.
    • Any external advertising campaigns launched without our final written approval.
  6. No external entity, sub-agency, or client is permitted to link, associate, or tag the DR Design brand name to any unauthorized asset or campaign without explicit permission.

All the above-stated corporate policies are strictly applicable to any company, enterprise, government body, private agency, or individual client engaging with us. By floating a project brief, approving an estimation sheet, hiring our services, or assigning a creative task to DR Design, you automatically enter a binding agreement and signify absolute acceptance of all stated terms. No project kickoff will take place without complete compliance with these policies. Any violation of these clauses will trigger an immediate suspension of services. All advance payments, retainer deposits, and milestone settlements are completely non-refundable under any eventuality. The client remains fully responsible for establishing clear communication channels and processing timely invoice payments. DR Design reserves the absolute right to refuse service or cancel active contracts if agency terms are compromised. No modifications, verbal custom waivers, or deviations from these policies will be valid unless formally executed by DR Design management in writing. These policies stand final, binding, and active for all current and future professional creative engagements.

These operating work policies are globally applicable to all organizational structures, including registered startups, public limited firms, proprietary businesses, and individual clients, without any exemptions.

By proceeding further with the onboarding process, the client confirms that they have thoroughly read, understood, and unconditionally agreed to all the above terms and agency policies.
